3.1 With Venues
When you book, we share your name and contact information, party size and reservation details, special requests and preferences, dietary restrictions, payment information (when required), and dining history (with that Venue or restaurant group). Venues use this information to fulfill your reservation, provide personalized service, and manage operations.
3.2 With Service Providers
- Payment Processors (Stripe): Payment card information, transaction details, billing information
- Cloud Hosting (AWS): All Platform data for storage and processing
- Analytics (Google Analytics): Usage data and metrics, performance information
- Communication Services: Contact information, message content
- AI Services: Content for processing, usage data for improvements
3.3 With Business Partners
We may share information with delivery platforms, marketing partners, advertising networks, and restaurant groups and affiliates. You can control marketing sharing in your account settings.
3.4 With Social Media
If you connect social accounts, we may post on your behalf (with permission), share reservation activity (if enabled), and receive your public profile information.
3.5 For Legal Reasons
We disclose information when required by law or legal process, responding to government requests, enforcing our Terms, protecting rights and safety, or detecting fraud or security issues.
3.6 In Business Transactions
If we're involved in a merger, acquisition, or sale, your information may be transferred. You'll be notified of any changes and privacy protections continue to apply.
3.7 Aggregated and De-Identified Data
We may share statistical information, anonymized trends and insights, and aggregated user behavior. This information cannot identify you personally.
4. International Data Transfers
Data is stored in the United Arab Emirates, United States (AWS servers), and European Union (when applicable). We protect international transfers through standard contractual clauses, data processing agreements, security measures and encryption, and compliance with applicable laws including GDPR, CCPA, and UAE data laws.
5. Data Retention
- Active Accounts: As long as your account is active, plus a reasonable period for reactivation
- Inactive Accounts: 3 years after last activity, then deleted or anonymized
- Transaction Records: 7 years (legal and tax requirements), anonymized after account deletion
- Marketing Data: Until you opt out, then suppressed within 30 days
- Deleted Accounts: 30 days (to allow recovery), then permanently deleted
We retain information longer when legally required for ongoing disputes or investigations.
6. Your Rights and Choices
Access Your Data: View, download, or request a copy of all personal information we have. Go to Account Settings → Privacy → Download My Data or email privacy@gatheredhq.io.
Correct Inaccurate Information: Update your profile, contact details, preferences, or payment info anytime in Account Settings.
Delete Your Account: Request full account deletion. We'll delete your data within 30 days, except information required for legal or tax purposes. Go to Account Settings → Delete Account or email privacy@gatheredhq.io.
Control Marketing: Click "unsubscribe" in any marketing email, reply STOP to SMS messages, or manage in Account Settings → Notifications.
Manage Cookies: Control cookies through our cookie banner or Account Settings → Privacy → Cookie Preferences.
Withdraw Consent: Withdraw consent for specific data uses anytime in Account Settings → Privacy.
File a Complaint: UAE Residents: UAE Telecommunications and Digital Government Regulatory Authority (TDRA). EU/UK Residents: Your local data protection authority. California Residents: California Attorney General. All others: privacy@gatheredhq.io.
Response Time: We respond to most requests within 30 days. Exercising privacy rights won't affect your service, pricing, or access to features.
7. How We Protect Your Data
Security Measures: Encryption during transmission (TLS/SSL), encryption at rest for stored data, secure data centers with physical access controls, regular security audits and penetration testing, and access controls (employees only see what they need).
Payment Security: We never store full credit card numbers. Our payment processing is PCI-DSS compliant with tokenization, encryption, and fraud detection systems.
Data Breach Response: If a breach occurs, we'll notify you within 72 hours, explain what happened, what data was affected, and what steps we're taking.
